Summer 2020 | 28 Enhancing Workflow Workflow Optimization Jon Bell, Product Manager In today’s modern community pharmacy, it’s essential to boost efficiency, streamline operations, and simplify processes. Achieving all these things might seem unattainable, but QS/1 has you covered. NRx Workflow is flexible and scalable to meet the needs of a pharmacy implementing one or all of its steps. You can control how the Workflow module functions, but this article will focus on best practices. Step 1: Pharmacy at a Glance (PaaG) PaaG provides a dashboard view of prescriptions and queues throughout the pharmacy. Plus, it allows you to access a queue in one click. If you’re currently not using PaaG, it takes at least three clicks to access a Workflow queue through the menu option from Rx Processing Tasks. The dashboard can be customized to only display information that is relatable to your role within the pharmacy. To customize your view of PaaG, click File > Options . You can set up PaaG so only the Workflow steps you are responsible for, such as Label and Dispensing and Error Resolution, display. Also, you can use the ability to set a threshold between normal (green), warning (yellow), or critical (red). The threshold option allows the color of the queue to change as the amount of records move up or down based on productivity. These settings are also tied to your user account, so changes will not affect other employees and the way they want to view information in the dashboard. One minute is the recommendation. Step 2: Default Delivery Method Lead Time To optimize Workflow, you must know which prescriptions are the most important to work on based on patients’ needs or delivery schedules. Delivery methods now have the option to default a lead time based on the pharmacy setting. For example, you want all prescriptions that are designated as “Pick Up” to produce a lead time of 45 minutes. This can be set up under Store Control > Store Level Options > Rx Filling Options . In the bottom right corner of this window, you will see the “Enable Lead Times/Defaults” option. Place a checkmark here to activate the feature. Now, click the blue “Edit Delivery Methods, Defaults, and Lead Times” hyperlink. Here you will see four default options that are pre-loaded into the application. There are also columns that allow you to default a delivery method for New Prescriptions, Refills, and Electronic Prescriptions. These defaults should be used if the patient isn’t already assigned a delivery method on their Patient Record. The last column allows you to insert several minutes that automatically generate a lead time for the prescription. Note : By default, there are four delivery methods in NRx: Stat, Pickup, Delivery, and Mail, but you can add customized delivery methods like Waiting or Delivery Route 1.
